Everything a milk distributor runs in a day.
KshirSetu is milk distribution management software built alongside a working distributor. Here is every part of it — from the retailer's order the evening before, to the loaded vehicle, the deposit, the ledger and the GST invoice.
Orders & daily demand
Retailers order milk and products for the coming days; the office sees the whole day's demand before a single crate is loaded.
Cut-off times per zone
Each zone orders on its own schedule. After the cut-off the app stops taking orders and the office takes over.
Milk in litres, products in pieces
Milk demand is kept in litres, including fractions, and products by pack — with the right rate for each zone.
Office entry and correction
Staff can enter or correct any retailer's order, so a shop without a smartphone works exactly as before.
Built for fast keyboard entry
Type a retailer code, the quantities, press Enter and move on. Dates and numbers are guarded against typing slips.
Daily demand report
The day's demand by zone, trip and product, opening straight into that trip's distribution sheet.
What each zone supplies
A zone can deal in milk, products or both; the app only offers a retailer what their zone actually supplies.
Loading, trips & vehicles
Turn the day's demand into vehicle loads and printed sheets the driver can work from.
Trip-wise split
Split each zone's load across trips. Each retailer has a home trip, and any share moved to another trip is tracked.
Whole crates, not loose packets
Crate sizes are set per zone and product, and splits move whole crates — the home trip carries the remainder.
Vehicle capacity warnings
Assign a vehicle to each trip and see what it carries against its real capacity, with a warning when it is over.
Print everything at once
Every zone's and every trip's milk distribution sheet for the day goes to the printer as a single job.
Safe for several people at once
Two people editing the same trip split cannot overwrite each other's work silently, and unsaved changes are kept if the page closes.
Separate product sheets
Products get their own loading sheet, apart from the trip-wise milk split.
Retailer Android app
An app for the shopkeeper, in Hindi or English, on the phone already in their pocket.
Order before the cut-off
Tomorrow's milk and products, in the pack sizes the shop actually buys.
Record a deposit
Enter the UTR or reference and attach a photo of the receipt. It waits for the office to approve it.
Live account statement
Balance, deliveries and payments, always up to date — no month-end argument about the numbers.
Messages and reminders
Notices from the office land in an inbox, and a push reminder arrives if the shop has not ordered by the cut-off.
Device activation
The app works only on a phone activated with a one-time code, so a shared password does not open the account elsewhere.
Your app, your data
Retailers enter the dairy code you give them, which connects the app to your instance and nobody else's.
Deposits & payments
Money is counted only once someone in the office has checked it.
Pending until approved
A deposit from the app or the counter sits as pending. Only an approved deposit reaches the retailer's ledger.
Approve a day's deposits in one pass
Work through the pending list quickly, with each deposit checked and saved on its own.
Rejections with a reason
A rejected deposit goes back to the retailer with the reason, in their app inbox.
Bank statement checker
Upload the bank statement file and approved deposits are matched to it by reference, amount and date.
Daily account inflows
Record what came into each zone's bank and cash for the day, and see claims against it before the day is closed.
Who approved what
Hover any amount to see who approved or last changed it, and when.
Credit & dues control
Credit is checked when the order is placed, retailer by retailer — not discovered at month-end.
Credit limit per retailer
Set each shop to Off, Warn or Block. A long-standing shop and a new one do not have to be treated the same.
Admin-only overrides
Only an admin can push an order through a block, and every override is recorded with the amount it went over by.
Hold one shop's supply
Stop milk, products or both for a single retailer without closing their account. The reason stays with your staff.
Dues collection plans
Clear an old balance over a set number of days: pay for today's order plus the day's instalment, and the next order goes through.
Only approved money clears dues
A deposit that has not been approved can never mark a dues plan as complete.
Watchlist
See the retailers whose balances are sliding the wrong way before they become a problem.
Ledgers & statements
One running ledger per retailer and per supplier, and statements that reach people without a phone call.
Daily retailer ledger
Opening to closing balance for every retailer, every day, with each sale, deposit and adjustment.
Statements on WhatsApp and email
Send a PDF statement to one retailer or a whole zone at once.
Supplier (party) ledger
Purchases from the dairy at the booked rate, TCS, and payments made — one statement row per gatepass.
Day close and freeze
Once a day is reconciled and frozen, nobody can edit it quietly.
GST & invoicing
Your accountant carries on filing the way they do today.
GST tax invoices
Invoices with HSN codes and a separate financial-year number series for each zone.
GST summary
A summary report of taxable value and tax for the period.
Tally-compatible export
Sale, bank and cash books exported as TallyPrime XML for your accountant.
Seller per zone
Each zone invoices under its own registered details.
Purchases, stock & crates
What came in from the dairy has to equal what went out, plus what was lost.
Purchase entries
Each gatepass from the dairy recorded by date and shift, kept at the rate it was booked at.
Damage and breakage
Recorded as a loss at the purchase rate, separately from sales.
Crates per retailer
Crates issued and returned, and what each retailer still holds.
Stock that balances
A day is only frozen when sales plus damage match what was purchased.
Vehicles, fuel & staff
The running costs behind every delivery.
Fuel ledger
Diesel entries against odometer readings, with mileage per vehicle and an account per pump.
Vehicles per zone
Each zone's vehicles with their capacity, used when loads are split into trips.
Attendance and wages
Staff attendance and wage rates for drivers and helpers.
Salary payouts
Salary worked out from attendance and the wage rate, less any advance — and a paid period is locked so it cannot change later.
Reports
The numbers an owner actually asks for.
Comparison report
Put any two periods side by side — this May against last May — and see which retailers grew and which fell.
Retailer performance
One retailer over time: sales and dues on the same chart, so a shop that grows while sliding into debt shows up.
Collection sheets
Each retailer's demand beside the deposits they have claimed, to review before the day's approvals.
Print-ready
Sheets and reports are laid out for paper, not just the screen.
Security & control
Software that handles money has to show who did what.
Roles and permissions
Decide who enters demand, approves deposits, changes rates or closes a day — and edit the roles yourself.
Zone-limited staff
Limit each staff member to the zones they handle; they see nothing else.
Audit trail
Rate changes, new retailers, overrides, supply holds and edits to frozen days are all recorded with who and when.
Logins that expire
Office and retailer sessions time out on their own, without losing work that is being typed.
Setup & your data
Your own copy, your history brought with you, on the computers you already have.
Your own instance
A separate database and web address for each distributor. Nothing is shared between distributors.
Data migrated and reconciled
Retailers, balances, rates and history moved in from your old system, and checked against your books before go-live.
Many zones, one office
Separate zones with their own rates, cut-offs, vehicles and invoice series.
Works on older PCs
Runs in the browser, including on older Windows 7 computers. Nothing to install.
